a) select a date of the first day of school

The more official monthly enrollment STU.993 will print all your enrollment numbers and if you update the DETAILS date with the day before the first day of school then you will see the details of any new or withdrawn kids.

RESPONSE: In CIMS the only auto email/notify that gets sent out is nightly for discipline (based on DSP.002 action code setup).

however, there are many CIMS reports that you can use to establish and check on your at risk .. thinking these reports can be run weekly or more often if necessary
DSP.512 ... to look for incidents
ATT.580a ... to look for excessive absences
SCH.593 - to look for kids dropping courses

then at grading time
GRD.558 ... to identify failing courses or no marks or incompletes
GRD.595 .. to look for large mark swings between one grading period and the next

Also
GRD.570 .. to know who is not setup to graduate

AND ... admin/resource teachers should be in adminconnect daily on that dashboard to get a daily picture of attendance, suspensions etc. as they are indicated right on that initial dashboard.

I suggest that you setup a new tag ATRISK (text tag ATT.280) where schools can tag students ... and then very easy to in adminconnect limit to that tag and be able to easily see the students and <View> to
check up on them.

The Ministry effective February is asking for an attendance report that also includes entry/withdrawals.

By definition they are looking in high schools that as long as they attended one thing they are there and in AM/PM schools they state 'period with highest attendance' ..

The combination of ATT.894 and STU.894 (STU.983) will provide you with the numbers if you wish to run this at the district level and not have to bother the schools.
Our ATT.894 (has been adjusted) has a new option 'Include Full Day Abs Only' ... If you select Y for this - it will give you what the ministry is looking for.

STU.894 has been adjusted to show you entries and withdrawals separately to meet the needs of the report. If you are concerned about taking out the internal transfers then you can use STU.983 (Sort first by school then 2nd by entry/withdrawal code) to

NOTE: We are not calculating highest AM/PM period - we are calculating 'If student attended any part of day count them present' ... Per student they come out to the same result, the only chance the calculation would be largely different is if you have a completely different mix of students missing am from pm.

We had to make one final adjustment to ATT.894 for middle schools (course oriented) doing AM/PM attendance as the number was not right. We are transmitting this change in the next day .. otherwise everything is good to go for you.

in GRD.511 there is an option Efile Y (should for sure use an overlay on this) ... which takes all of the report cards, creates electronic copies and stores them in student folders (forever). This is then available to parentconnect, adminconnect, teacherconnect, and studentconnect.

So ... if you did start using parentconnect (its free, CIMS auotmatically generates parent IDs and manages them for you so manageable for the office) then YES parents would then be able to pickup their report cards at any time.

One thing to get in place is that the report card format has an overlay (your school letterhead or something) so that the electronic copy is not just plain white paper) ... Some of your schools already have this but noticing that RPT062 does not exist so we need their letterhead if they want to start into efiling.

To print just the last page ‘2’ to change the output (F10) and page down … change page range to *last. Another report to look at is ATT.521 it will provide the summary and offer a date range but it will not allow a class restriction if you wanted to run by grade level.

I investigated Maples. Think of it this way. For Ministry and reporting purposes - your regular school full day would be A,B,C,D block .... not homeroom block X and not that lunch block F. I would be marking just A,B,C,D Y on ATT.101. This does not prevent you from taking attendance in those periods - it just excludes those additional blocks from your 'L'oad reporting.

RESPONSE: The thing about your 'print' as a teacher is that you at the time of print can control which range of assignments to include, whether to include additional narrative or workhabits (report card format) .. information that the parent could not answer correctly so expecting what you print as an interim is what they would <Print> could be inconsistent. PLUS, at many schools they are replacing their hardcopy interim reporting with electronic and they want a report snapshot at a point in time to be what the parent sees (in addition to seeing the entire profile up to date which is already available).

 SO - in the last release you should notice the new checkbox beside the print to 'Post to student folder'. So once you have selected the appropriate reporting format (which means could include workhabit mark, narrative) and assignment period (if applicable) then it would pdf all of those documents and then the parent will see this in the student folder and in the grades (like a report card) .... this way you can control this more official document.

RESPONSE: Correct that there is no such thing as mass complete, more specifically it is inputting the mark that fills the complete... mass fill mark automatically fills in a complete date.

 

If a teacher wants to actually record completion versus mark date .. suggest that they mass fill a mark say WFM - waiting for mark at the time they record the completion and then also remove those kids that have not completed ... then update those marks as you mark them.

 

Not sure that it is worth mass assigning a completion date after the fact with a consistent date .. what is that accomplishing? Possibly we should be chaning that complete date terminology to 'Date mark recorded'. It is true that to parents overdue is not appearing unti marks have been inputted and only for those not handed in so the completion date itself is not important to that trigger.

    RESPONSE: Use SCH.515 to control 'Include in Conflict Matrix' in SCH.310

    1. If you first use SCH.515 and indicate Selection #3 to auto select and then reset SCH.310 this will automatically do a 'N' for all courses and then turn single section only courses to 'Y'

    2. After doing this the report may still be too long as it will include the out of timetable single section courses that you do not care about. At this point go into SCH.310 and turn just those don't want to include courses to 'N'

    3. From then on - run SCH.515 as selection #1 and it will be a great report to tell you what courses NOT to run together.
