RESPONSE: All T4's should be efiled regardless of whether you are in addition printing them or not.
Use PAI.810 and fill in identical to how you would for printing but
a) Efile Employee Copy Y
b) Group ID for reference ** Very important to keep consistent from year to year ** Use the appropriate RP1, RP2

c) change the print type to ‘O’verlay so CIMS will print the boxes
.. If you need to re-do a T4 cause it has been altered .. also make sure to efile Y the new copy as well.

RESPONSE: Right on EmployeeConnect in the T4 folder there is a Link 'T4 Revenue Canada Instructions' that pulls up that second page explaining all the boxes. Right now I see we have last years posted so will take care of it today to update that to this years 2nd page!

a) Create transmission file and efile Y

b) Exclude Web T4 only Y and Sort Location (probably) for paper copies for those that have to.

And you can name the members whatever you wish.

RESPONSE: Our recommendation would be to make two timecard entries to correct, ie: create a timecard for the appropriate next period end date and on the absence lines:

7- hours for the TIME/C and 7+ hours for the SK/F/C and inside the lines put the backdate to the actual date of absence. .. This way you know there was a correction done.

RESPONSE: This is happening cause in EmployeeConnect we are looking for an active assignment to pull up what potential leave types she can take and there are none - hence no possible leave types come up.

In AdminConnect we loosened up the reigns to allow that type of user to add a leave type based on any assignment .....

RESPONSE: The total pending approval and approved do not include those expense items marked as not in budget ... the excluded is all the items marked to exclude from budget. A true final total of the BUDGET values will just be the approved as the excluded is not in that total.

BUT ... if you are looking for a nice download to drop current staff, their salaries and their current grade/steps to forecast then YES in payroll there is a PAY.340TC which creates a report and/or file that you can pull up in Excel

You might choose account distribution Y or N depending on your needs

Make sure to name the document posting#.pdf eg: 7911-01-009.pdf THEN copy to your webserver

ANSWER: At most districts CIMS will auto-assign a password one-time for employees upon employment and never reset/remove it. It is not the <SAVE> part that prevents an employee from going in and making a change ... it is the levels of approval,

If it has been approved as that type of leave for that particular date ... it makes sense that the employee must contact the approver (or approvers office) to make changes or cancel. At that stage board office can use EIS.316 or AdminConnect to change the leave ... and that is fine for leave type change and other minor changes but if the change is significant where the school should then become re-involved to approve .... first LOA should be cancelled and a new one initiated so that all levels are again informed of this leave and have input to approve it.

1. Yesterday we talked about using PAY.408 to correct previous (already posted) absence mistakes both positive and negative .... For every occasion where month(s) down the road an absence was posted wrong or missed ... it means going into PAY.408 and Absence Y .... add the appropriate absence date and the amount (could be positive or negative) to correct the entry. If it was supposed to be a different code then -1 the one code and 1+ to the other code.

2. When somebody has to accrue an absence, eg: Teacher starts in October and has missed the 20 days ... The best way to get this in is at timecard PAY.408 and select 'Time Accrued: Y' and on the subsequent screen indicate the appropriate time you wish to accrue. This is better than just doing a negative absence because it will then appear as accrued rather than just a negative absence. SO ... when a person starts after 1st pay ... make that note to add absence accruals if necessary (Sick days, Pers day???)

3. When somebody ends a job code and takes on a new one ... always consider that the absence balances need to be transferred to the new job code. PAY.955. Only transfer those balances that are applicable. The transfer date always defaults to today. You cannot use a transfer date where the employee has actually taken an absence for that date.

RESPONSE: Not positive what your district has decided in numbering her SAR# (transaction number) … Some districts use SAR# for all of the employee items they need to report to the board ... If the next board meeting is January 30th as they deal with all of the new hires, retires, term adds etc. for employees you would put a sar# of 120130 (YYMMDD) on all of the items .. then could run an activity report by sar# to know what employee activity would appear.

If you are not doing that .. use current date (today would be 120201) as sar#
